Important information for users of our e-commerce system

General Information

The Cool Running web site provides online credit card payment for race entries and some running-related goods including race videos. We provide the infrastructure to collect the payment from your credit card and pass that payment on to the race director. Your credit card statement will show amounts charged by "Cool Running New Zealand". Please direct any queries about the actual debit (ie timing, amount, etc) to Cool Running (contact details below). Please direct any queries about your race entry (eg mailing out of race numbers) to the race director of the race concerned. Contact details are on the entry form web page.

Security

When you register online, there are two parts to the process. On submission of your registration form your entry details (name, address, grade, etc) are sent to the race director or race secretary by email or via a similar low-security process. When you proceed to the 'pay by credit card' screen your transactions are encrypted using the industry standard 128-bit SSL. This means that your credit card details cannot be intercepted during transmission from your computer to our server. Credit card details are stored in our online database and can only be accessed by Cool Running staff with the appropriate password. Credit card details are passed to our bank either via PIN-protected telephone keypad or via a secure website again encrypted using SSL. Your credit card details are normally erased from our database one month after your payment.

Privacy

Your personal data supplied online is used only for the purposes of (a) communicating your entry to the race director and (b) processing your credit card payment. Personal information is stored on our email server accessible by Cool Running staff with the appropriate password. To process your entry, your data is passed to the race director or race secretary, from which point their privacy policy applies.

Refund Policy

If you wish to obtain a refund of your entry fee you must take this up with the race director of the race you have entered - their contact details are on the entry form web page. Please note that normal practice is that it is not possible to obtain a refund after the 'late entry' date, however you may be able to transfer your entry to another runner. If the race director authorises a refund, this will made by a credit to the credit card to which the entry fee was originally charged. Under no circumstances will cash or cheque refunds be made against credit card payments.

Cancellation

Please note that it is extremely rare for an event to be cancelled once paid entries have been taken. If an event is cancelled you may be able to receive a refund of your entry fee, subject to the refund policy outlined above.

Delivery of physical goods

In the case of payment for physical goods, in all cases Cool Running is providing infrastructure to transmit your order and payment to the supplier of the goods. Order fulfilment is the responsibility of the physical goods supplier who's contact details are provided on the web site.

In case of problems

If you experience problems with any of the race directors or goods suppliers hosted on the Cool Running site please let us know so that we can address the issue with the supplier concerned.
